Upload catalogs and correct errors

Via iPIM SSP suppliers can upload catalog files for iPIM Supply catalogs. The item data from the uploaded catalog file is transfered to iPIM Supply, where it is processed according to the catalog configuration. The next step after the upload via iPIM SSP is the validation (i. e. check) of the item data. Possible validation errors are transfered back to iPIM SSP where suppliers can correct faulty item data.

Using a simple example, this chapters explains the follow-up import for an existing catalog. In the process, a catalog file with item data for the catalog “Cat_02” is uploaded. Once the file was uploaded and the item data was validated in iPIM Supply, the errors that occurred are corrected via the corresponding validation report.

Note
Make sure that for validation rules in iPIM Supply the “External rules“ checkbox is ticked so that possible validation errors are returned to iPIM SSP where they are shown in the corresponding validation report.

Step 1: Call up the catalog

In this step, the catalog “Cat_02” is called up:

  1. Go to the “Catalogs” section of iPIM SSP.
  2. Choose the catalog from the catalog list. Possibly use the text search to filter the list of catalogs by a search term.
  1. Click on the catalog name to select it. Following this, you are directed to the overview page of the catalog where the “Overview” tab is called up. Among other things, it contains the master data of the catalog as well as an upload area for catalog files and digital assets.

Step 2: Upload the catalog file

In this step, a catalog file with the following item data is uploaded:

  1. Activate the “Catalog upload” tab.
  2. Drag the catalog file over the drop area and drop it there. Or click on “Folder Select file” to call up the catalog file via the file manager. Following this, the file is uploaded into the cache and the file name is shown below the drop area.
  3. Click on the UPLOAD button to trigger the import. A corresponding message appears to show that the import is carried out. Following this, an automatic validation is run in iPIM Supply and the result of the validation is transfered back to iPIM SSP.
Note
For the catalog file in this example, an automatic validation (transformation) is set up. Via an automatic validation which is triggered by the import of a catalog file, the validation result is transfered back to iPIM SSP. The validation result can be retrieved via the respective report where validation errors can be corrected directly. An automatic validation can be set up in the “Process” tab of the respective catalog in iPIM Supply. Click here. And in order to find an example how to create an automated validation, click here.

Step 3: Call up the validation report

For the catalog “Cat_02”, a validation rule is set up. This rule checks whether all the parts of the value of the attribute “Devicetype” begin with a capital letter which in this example causes a validation error, as in the catalog file, the value in line 3 is “Coffee maker”.

In this step, the error is corrected. For this purpose, the validation report is called up:

  1. Activate the “Reports” tab to call up the report list of the catalog.
  1. Click on the most recent report to call it up.
  1. Scroll to the lowest card where the validation error is listed.
  1. Double-click in the cell of the “New value” column.
  2. Enter a correct value and leave the table cell.
  3. Click on the SAVE button to save the entered value. The value is sent to “iPIM Supply” and the state of the catalog jumps back to the process step “Import”. And as an automatic validation is set up for the catalog, the validation is carried out and the validation result is returned back to iPIM SSP:
Note
If a validation report contains multiple errors, correcting a single errors is handled like an import. If you configure an automated transformation that is triggered by an import, each correction of an error triggers a tranformation which in turn generates a validation report in iPIM SSP. In order to correct additional error after correcting an error, you need to call up the latest validation report and correct the next error there.
