Synchronisation (Supplier catalog)

The synchronization is the last step in the catalog process. In this step the approved iPIM Supply items are synchronized with iPIM to create new products and items or to update existing products and items.

Configure the synchronization

Call up the configuration

To configure the synchronization process, you first have to call up the synchronization configuration. To do so, proceed as follows:

  • In the "Catalog Process" section, click on "Synchronization" or select the option "Synchronization" from the "Configuration" menu to access the synchronization configuration page.

Common

In the "Common" section, it can be specified whether product and item relations are to be created in the course of the synchronization process.

  • In order to activate the creating of product and item relations, tick the checkbox.
  • In order to deactivate the creating of product and item relations, untick the checkbox.

Product arrangement

Via the product arrangement, items with mutual unique identifiers suchs as the article name are grouped into a product.

Configure the product arrangement

In order to configure the grouping of items with mutual unique identifiers into one product, proceed as follows:

  1. From the "Product arrangement attributes" menu , select an attribute that is used for grouping items.
Possibly use the text search to filter the list of attributes by a search term.
  2. Possibly add additional product arrangement attributes. To do so, click on the Add button and select an attribute from the menu that appears afterwards.
  3. Click on the Save button at the bottom of the page to save your settings.

Note
Select an attribute on the product level as an product arrangement attribute so that the product arrangement is successful.

Call up the product arrangement preview

You can call up a preview of the products which were created by the product arrangement. To do so, proceed as follows:

  • Click on the Preview button. Afterwards a list of products is shown.

Deativate the product arrangement

If you deactivate the product arrangement, for every imported item an individual product is created. To deactivate the product arrangement, proceed as follows:

  1. Tick the checkbox "Do not use an attribute for grouping".
  2. Click on the Save button at the bottom of the page to save your settings.

Configure attribute rules

The "Attribute rules" area shows a list of the iPIM Supply attributes. Here you can set up rules for the individual attributes that determine how the synchronisation should proceed. You can define individual rules for each attribute or you can define the same rule for all the listed attributes.

Specify individual attribute rules

In order to define individual rules for each attribute, proceed as follows:

  1. From the menu in the table row of one of the attributes, select the an attribute rule. You can choose between the options:
    • Do not synchronize: The iPIM Supply attribute is not synchronized with iPIM.
    • Synchronize once: The iPIM Supply attribute is synchronized with iPIM only once.
    • Only synchronize on item creation: The iPIM Supply attribute is only synchronized upon item creation.
    • Synchronize updated data: The iPIM Supply attribute is synchronised with iPIM only if changes have occured since the last import.
    • Overwrite everything: The iPIM Supply attribute is always synchronized with iPIM.
  2. Select the attribute rules for all the other listed attributes.
  • In order to save your settings, click on the Save button . A success message is shown.
  • In order discard your settings, click on the Cancel button .

Note
  • If you select the attribute rule “Synchronize updated data” for an attribute, the corresponding attribute values of all imported items are sent to iPIM. The delta check in the ERP import process in iPIM regulates for which items the attribute values are updated because changes have occurred. The data comparison via the delta check is based on the import data status and not on the current data status. This means that attribute values that have been manually changed in the meantime are not taken into account and are overwritten accordingly.
  • If you select the attribute rule “Overwrite everything”, the respective attribute is always sent to iPIM. This overrides the delta check in the ERP import process for this attribute, so that the value provided by iPIM Supply is processed in any case. This is independent of whether there is actually a change or not. This attribute rule is suitable for overriding manual changes again.

Specify the same rule for all the attributes

In order to specify the same attribute rule for all the attributes, proceed as follows:

  1. From the menu below the attribute list, select an attribute rule.
  2. Click on the Execute button next to the menu. Subsequently, the selection in table rows of the individual attributes adjusts accordingly.

  • Um save your settings, auf den Speichern-Button klicken.Pfeil nach rechtsEs wird eine Erfolgsmeldung eingeblendet.
  • Um den Vorgang abzubrechen, auf den Abbrechen-Button klicken.

Execute the synchronization

In order to carry out a synchronization of the approved items, proceed as follows:

  1. Call up the appropriate catalog and go to the "Catalog process" tab.
  2. In the "Synchronization" section, click on the Play button. Then appears the corresponding input window.
  3. Click on the Yes button to trigger the synchronization process. Following this, a corresponding process message appears and a synchronization statistic is shown. Depending on whether the process was successful, partially successful or unsuccessful, the status traffic light changes to the corresponding color.

Synchronization report

The synchronization report shows you a list of essential information about the most recent synchronization. These are broken down by processes, events and results. In addition, there are the general process messages, error reports grouped by item and by error, and lists of successfully synchronized (i.e. newly created) items, successfully updated items and failed items in separate info sections.

Access the synchronization report

  • In order to access the synchronization report for the most recent synchronization, click on the "Synchronization report" button. Then you will be directed to the corresponding overview page.

Unfold and collapse info sections

  • In order to unfold a particular info section, click on theunfoldbutton in the respective section.
  • In order to collapse a particular info section, click on thecollapsebutton in the respective section.

Call up individual items

You can call up individual items to view an overview of their item data:

  • In the item table of the respective info section, click on the iPIM Supply number of the desired item. You will then be directed to the item overview of this item.

Export report data

This screenshots shows the user interface under version 5.8.

In the "Export" section you can export report data of a synchronisation report, whereby the exported data can be filtered regarding various parameters. To do so, proceed as follows:

  1. From the "Select attribute set" menu , select a report type. You can choose between the options:
    • "Item messages" for an export of item messages only
    • "Process report" for an export of the whole synchronisation report including the item messages
  2. From the "Select export format" menu , select the file format of the export file (.xslx or .csv).
  3. From the "Select item status" menu , possibly select an item status.
  4. From the "Select code" menu , possibly select an error code (since version 5.8).
  5. Click on the Export button to trigger the export. The export file can usually be found in your local download folder.

FAQ

Basics

What happens in the "Synchronization" process step for the supplier catalog?

The synchronization is the fourth and last step in the catalog process. In this step the approved iPIM Supply items are synchronized with iPIM to create new products and items or to update existing products and items.

Common settings and product arrangement

What is meant by product arrangement?

Via the product arrangement, items with mutual unique identifiers, such as model numbers, are automatically grouped into a product. This combines several item variants into a single, shared product.

What requirement must a product arrangement attribute meet?

An attribute on the product level must be selected as the product arrangement attribute. Only then can the product arrangement be carried out successfully.

How do I deactivate the automatic product arrangement, and what happens to the imported items then?

To deactivate the product arrangement, the checkbox "Do not use an attribute for grouping" is ticked and the setting is then saved. In this case, an individual product is created for every imported item.

Attribute rules

What is the "Attribute rules" area in the synchronization configuration used for?

The "Attribute rules" area shows a list of the iPIM Supply attributes, for which rules can be set up that determine how the synchronization should proceed with these attributes. You can define individual rules for each attribute or the same rule for all the listed attributes.

What exactly does the attribute rule "Synchronize updated data" do, and what should I keep in mind?

With this rule, the corresponding attribute values of all imported items are sent to iPIM, while the delta check in the ERP import process in iPIM regulates for which items the values are actually updated. Since the data comparison via the delta check is based on the import data status and not on the current data status, attribute values that have been manually changed in the meantime are not taken into account and are overwritten accordingly.

When should I use the attribute rule "Overwrite everything"?

This rule is suitable for deliberately overriding manual changes to an attribute again. It overrides the delta check in the ERP import process for this attribute, so that the value provided by iPIM Supply is processed in any case, independent of whether there is actually a change or not.
